Data Privacy Declaration

Protection of your personal data is of extreme importance to us. For this reason, we would like to inform you below as to which data we collect when you visit the website of German Medical Science (GMS) and about the purpose for processing and using this information in correspondance to the European General Data Protection Regulation (GDPR).

General information und responsibility

Personal data is any data which can be related to a natural person, like name, address, email address, usage pattern. Usage of our website and online services generate personal data, as described in detail in this data privacy declaration. In general it can be said that we process personal data in compliance with data protection laws, which means we use it for very specific purposes and according to the principles of data minimization.

Responsibility

The collaboration of the Federal Institute for Drugs and Medical Devices (Bundesinstitut für Arzneimittel und Medizinprodukte, BfArM) with the Association of the Scientific Medical Societies in Germany (AWMF) and ZB MED – Information Centre for Life Sciences creates a group of joint controllers responsible according to Art. 26 GDPR:

Data collection when accessing our website

Usage data and log files

When simply browsing and reading our website, without registering or explicitly sending information, we collect this usage data sent by your browser to our server:

  • Browser type and version
  • Operating system used
  • Website from which you are visiting us (URL referrer)
  • Pages and files retrieved by you from our website
  • Website visited by you after visiting ours, where applicable (by clicking an external link on our website)
  • Date and time of your access
  • IP address, anonymized in an abbreviated form

This usage data is technically essential to serve our website content to your browser. Exclusively for the purposes of tracking security-related accesses, error analysis and statistics, it is stored and processed in a log file for a limited period of time. A linking of this usage data with other personal data does not take place.

Cookies

Cookies are small text files that are stored on your computer when calling up particular pages or certain functions. They cannot be related to particular persons and do not contain any personal data. Cookies do not damage your computer and do not contain any viruses.

To a large extent you can also make use of the German Medical Science (GMS) online offers without accepting cookies. When invoking our search applications so-called session cookies are however used to facilitate your use of the website. These temporary cookies are automatically deleted from your computer again once the browser session ends. Even if you deactivate the storing of cookies in your browser, you can use our search applications.

Features of our Online Services

We offer further features beyond simply browsing our website. For these we need additional personal data and the above detailed priciples of data processing still apply.

Partly we process your data through external service providers. These are bound by our instructions and are checked regularly.

This information is not forwarded to third parties for any commerial reasons. Forwarding of this information to third parties only takes place with your prior approval or on a legal basis. Details can be found in the following list and by requesting abour your specific personal data.

Contact by email or through the contact form

If you voluntarily contact us by email or through the contact form on our website we will store the data provided by you (your email address, probably your name or phone number). The data you give will be used exclusively to contact you and to process your request. The personal data are stored as long as they are necessary for the purposes mentioned above and as long as required by statutory retention periods. The data processing is based on your voluntarily granted consent in accordance with Art. 6 para.1 lit. a GDPR.

Newsletters

Subscription to our newsletters is purely voluntary and does not occur without your explicit consent given through a confirmation in a Double-opt-in procedure: After initialising your subscription we send an email to the provided email address asking for your explicit confirmation. Only after reciving that confirmation your email address is stored for the single purpose of providing you with that newsletter. We do not monitor opening or any usage of a newsletter mail sent to you. The use of data to send the newsletter is based on Art. 6 para. 1 lit. a GDPR (consent).

Naturally you can unsubscribe from the newsletters at any time, and revoke consent provided by you for future use. To unsubscribe use the link to the subsciption management form provided within each single newsletter.

Research Application

When using our research application, we will store log files without personal data accoring to the details mentioned in section "Usage data and log files". We need this data to analyse and fix occuring errors and problems if necessary. Log files are stored for a limited period of time for a duration of up to 7 days and are then deleted. The use of this data is based on Art. 6 para. 1 lit. f GDPR (consent).

Your legal rights

Relating to your personal data you as the data subject have the following rights, provided the legal conditions are fulfilled:

  • Right to Information, Art. 15 GDPR
  • Right to Rectification of Incorrect Data, Art. 16 GDPR
  • Right to Erasure of Data, Art. 17 GDPR
  • Right to Restriction of Processing, Art. 18 GDPR
  • Right to Data Portability, Art. 20. GDPR
  • Right to Objection, Art. 21 GDPR

Provided the data processing is based on your consent, you may revoke it at anytime, with effect on the future.

You also have the right to complain to the Data Protection Supervisor about the data processing.

Objection or revocation against the processing of your data

If you have given your consent to the processing of your data, you can revoke them at any time. Such revocation will affect the admissibility of the processing of your personal data after you have given it to us.

As far as we base the processing of your personal data on a balance of interests, you can object to that. This is the case if the processing is not required to fulfill a contract with you, as we present in the given description of the features of our online services. In case of any such objection, please explain why we should not process your personal information as we have done. We will then review the situation and will either discontinue or adjust the data processing or show you our compelling legitimate reasons for continuing our processing.
